Comp Grid alerts can be configured to prevent end users from entering specific values on the Comp Grid (hard stop) or notify end users about an outlier record based on specific criteria (soft warning). 


Create or Update an Alert


  • Navigate to Admin>Configuration>Alerts
  • To create a new alert, click + New Alert at the top. To update an existing alert, click on the alert name.
  • Set an Alert Name. This name is not shown to end users and is intended to identify specific alerts for admin users.Image Placeholder


Select the Event Type
  • Review Chain Submission - Approval: When a Planning Manager has submitted their population to the next-level manager for approval, this email is sent to the specified users.
  • Review Chain Submission - Confirmation: When any user submits Review Chain, either as an Approval or Rejection, this email is sent to the specified users.
  • Review Chain Submission - Rejection: When a Planning Manager rejects a submission that was sent to them down to a lower-level manager, this email is sent to the specified users.
  • Manager Side Alerts: All alerts, both "hard stop" and "soft warning" alerts, that appear on the Manager Comp Grid.
  • Email Services Alerts: Based on the custom trigger criteria specified, this email is sent to the specified users.
  • FBS Alerts: Both "hard stop" and "soft warning" alerts tied to a specific Filtered Budget Summary widget on any data row. 

NOTE: Review Chain event types require a Comp Cycle to be specified. This Comp Cycle should be updated with each planning period:

Manager Side Alert Setup


  1. Toggle the Assign alert to comp grid fields and select a field from the drop-down.
  2. Enable relevant trigger options:
    1. Prevent comp grid data submission when alert is triggered: When checked, the comp grid cannot be submitted for review
    2. Prevent data saving when alert is triggered: When checked, entries made in cells of the comp grid will not be saved
      1. Allow admin override: when checked, this allows a user to enter and save data entered in comp grid despite system alerts if their role security settings have this function enabled.
  3. Select the criteria that will trigger an alert, more than one criteria can be added to trigger the alert. Multiple criteria can be selected. When these criteria are met, the alert will be activated and Compose will display a warning or prevent data save depending on the trigger options specified above.
NOTE: with multiple criteria selected, this will be treated as an AND - meaning all criteria must apply for the alert to be activated. In cases of comparison, this may require more than one alert configuration (i.e., Merit % > Guideline High and Merit % < Guideline Low as two separate alerts)

Filtered Budget Summary Alert Setup


  1. Select a Comp Cycle and which Budget Group (FBS Widget) the alert should apply to.
  2. Enable relevant trigger options:
    1. Prevent data saving when alert is triggered: When checked, entries made in cells of the comp grid will not be saved
      1. Allow admin override: when checked, this allows a user to enter and save data entered in comp grid despite system alerts if their role security settings have this function enabled.
  3. Select the criteria that will trigger an alert, more than one criteria can be added to trigger the alert. Multiple criteria can be selected. When these criteria are met, the alert will be activated and Compose will display a warning or prevent data save depending on the trigger options specified above.

Email Services Alert Setup


  1. Select a Source Object and Comp Cycle. NOTE: If you are unsure which Object should be used, please reach out to the Compose Client Success Team so we can guide you in setting up your email alert.
  2. If desired, set a max notifications per day that can be sent when this alert is triggered. When no value is entered, there is no limit on the number of emails that may be generated as a result of this alert. This maximum applies to each recipient that may receive the email notifications.
    1. Check "Recalculate Alert on Save" if you want to regenerate notifications based on existing Comp Grid data upon saving the alert. Otherwise, emails will only be generated when the trigger criteria is met after the alert is saved.
  3. Select the criteria that will trigger an alert, more than one criteria can be added to trigger the alert. Multiple criteria can be selected. When these criteria are met, the alert will be activated and Compose will display a warning or prevent data save depending on the trigger options specified above.
NOTE: with multiple criteria selected, this will be treated as an AND - meaning all criteria must apply for the alert to be activated. In cases of comparison, this may require more than one alert configuration (i.e., Merit % > Guideline High and Merit % < Guideline Low as two separate alerts)

For all Alert types, Tags from the drop-down. Multiple tags can be selected. 




Alert Message/Email Body Configuration


The precondition here is that an Event type must have been selected. The Message field will be greyed out if no Event Type has been selected.

  1. Select the relevant Type in the drop down - Email or Comp Grid Alert
  2. If Type is Email, enter a Message Subject. This will be the email subject line that is sent. 
  3. Enter the Description.
    1. If this is a Comp Grid Alert, this text will appear in the red box error message for "hard stop" alerts, or in pop-up box upon clicking a "soft warning" icon.
    2. If this is an Email, this text will appear in the body of the email that is sent.
    3. Formatting is preserved in Comp Grid "soft warning" alerts and in all Email alerts.
  4. Optionally, this alert description can be set as the default for all alerts of the same Event Type.
  5. Placeholders can be used in the Message Subject or Description. For more information about placeholders, please see Placeholder Fields For Review Chain Email Message

Recipients

For Comp Grid Alerts, the Recipient will always be set to AllUsers. This ensures that the alert is visible regardless of who triggered the action or who is viewing the alert.

The available options for recipients are populated based on the event type that has been selected. Optionally, the user can add specific recipients based on Employee reference or User Group by clicking the + sign.

For Review Chain, the dynamic options of Approver (the recipient who is receiving the submission) or Submitter (the person who initiated the review chain submission, whether approval or rejection) are available.

NOTE: For any Email trigger, a Recipient MUST be specified. If no recipient is specified, the email will not be sent even when the alert is triggered.

 

Removing/Inactivating Alerts

To inactivate an alert but keep the alert available for future use, toggle the Active indicator in the center of the page. Inactive alerts will no longer display on the Comp Grid, and any emails will no longer send.

Delete: On the Alerts Management screen click the Delete icon next to the alert. The Delete Alert window pops up, then click delete. A confirmation popup will appear as well.
